Privacy Policy

Routebook ("we", "our", "the app") is a trip expense tracking app built for field teams. This policy explains what information Routebook accesses, how it is used, and how you stay in control of it. Routebook is designed around a simple principle: your trip data lives in a Google Sheet that you own — we don't run a separate server or database to store it.
1. Information We Collect
Google Account information
When you sign in with Google, we receive your name, email address, and profile photo from your Google Account. This is used to identify you within the app and, if you use Team features, to show your name to teammates you've invited.
Google Sheets & Drive access
Routebook requests two Google API scopes:
- Google Sheets — to read and write trip, expense, sales, and profit records to the spreadsheet connected to your account.
- Google Drive (file scope) — limited to files created or explicitly opened through Routebook. We cannot see or access any other file in your Drive.
Trip & expense data
Data you enter — trip names, dates, total sales, total expenses, and calculated profit — is written directly to your own Google Sheet. We do not copy this data to any third-party database.
Data stored on your device
Your session and a cached copy of your profile (name, email, photo) are stored locally on your device using secure app storage, so you don't have to sign in every time you open the app. This data is removed when you sign out or uninstall the app.
2. How We Use Information
- To authenticate you and keep you signed in securely.
- To read and write your trip and expense records to your connected Google Sheet.
- To display your name and photo to teammates within a Team you've joined or created.
- To generate dashboards, charts, and reports from your own data, computed entirely on your device.
We do not use your data for advertising, and we do not sell or rent your personal information to anyone.
3. Google API Services User Data Policy
Routebook's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only request the scopes necessary for the app to function and never use Google user data for serving ads.
4. How Your Data Is Stored
Routebook has no backend database of its own. Trip and expense records are written through a Google Apps Script Web App directly into the Google Sheet you control — the same infrastructure Google Sheets already runs on. That means your financial data never leaves Google's infrastructure and is never held on a server operated by us.
5. Data Sharing
We do not share, sell, or rent your personal information to third parties. If you use Team features, the trip data connected to your sheet becomes visible to teammates you explicitly invite via an invite code — this sharing is controlled entirely by you.
6. Your Choices & Data Deletion
- Revoke Routebook's access to your Google Account at any time from your Google Account permissions page.
- Delete trip and expense records directly from your Google Sheet at any time — you own that data outright.
- Sign out or uninstall the app to remove the session and cached profile stored on your device.

7. Children's Privacy
Routebook is a business tool and is not directed at children under 13. We do not knowingly collect information from children.
8. Changes to This Policy
We may update this policy as the app evolves. Changes will be posted on this page with a revised effective date.
